How I Use AI to Handle My Expenses from Bank Accounts and Budget
Last Tuesday I dropped 43 transactions from two bank accounts into Claude and went to make coffee. By the time I came back, everything was categorized, inserted into my database, and the agent was asking me whether a 120 euro charge at a furniture store should go under "Big purchases" or "Other." I told it "Big purchases," and my 12-month forecast updated instantly. That one purchase moved my projected December balance down by enough to make me reconsider a trip I was planning.
I've been doing this — AI expense tracking with a rolling 12-month budget — for over five years. It's the same methodology I use to close budgets for companies I run. The only thing that changed recently is that AI took over the boring parts.
A financial advisor taught me personal finance management at 19
I ran my first company at 19 and had no idea what I was doing with money. I found an experienced financial advisor who sat me down and showed me how companies actually do budgeting. Where money goes, how much you're spending, what income to expect. Basic stuff, but nobody had explained it to me before.
I started applying the same approach to my personal finances and never stopped. To this day I close my personal budget every month the same way I close budgets for companies — reviewing every category, matching actuals against the plan, and adjusting the forecast. Same spreadsheet logic, same discipline, just one person instead of a department.

Every transaction gets assigned to a category. No exceptions. If money moved, it has a label.
My categories include things like:

- Rent, Groceries, Dining, Transport (regular expenses)

- Future taxes, Subscriptions, Big purchases (planned costs)
- Transfer (moving money between accounts)
Categories evolve over time. If I notice spending piling up in "Other," I split it into its own category. The AI suggests recategorization when it spots patterns too — that's the automated expense categorization part that saves the most time.
My AI budgeting system: past, present, and future in one table
My budget is a table where every row is a category and every column is a month. Past months show what I actually spent. The current month has actuals and the plan side by side. Future months are pure forecast — expected income, expected expenses, projected balances.

I can scroll to September and see what my bank balance should be if I stick to the plan. Companies do this exact thing — forecast revenue, plan expenses, track actuals. Having an AI budgeting system like this for personal use felt unusual at first, but after five years I can't imagine managing money any other way.
A recent example: I was looking at buying a new laptop. The total budget looked fine — enough money across all my accounts and assets. But when I filtered the view down to liquid assets only, excluding things I can't quickly access, the picture changed. There wasn't much free cash left after the purchase. I pushed the laptop to a few months later, when the forecast showed more room. Without the budget table, I would have just bought it and felt the squeeze later.
How AI took over my bank account tracking
I tried CoinKeeper, ZenMoney, spreadsheets. They all worked to some degree. The boring part was always the same: manually entering transactions, picking categories from dropdowns, fixing mistakes.
Now I drop bank statements into an AI agent once a week — CSV files, PDF exports, or just screenshots from my phone. The agent reads everything, figures out categories, and records it. When it's unsure, it asks. The whole thing takes about 10 minutes of reviewing what the AI already did, instead of an hour of manual entry. That's the personal finance automation I was always looking for — not a fancy dashboard, just something that handles the tedious bank account tracking so I don't have to.
The agent also checks that balances match across all my accounts. If something doesn't add up — a missing transfer, a duplicated transaction — it flags it and helps me find the problem.

I have bank accounts in EUR, USD, and RUB. Each transaction stays in its original currency, and everything gets converted to one view using daily exchange rates. It's knowing where my money is at all times and having a 12-month forecast I actually trust. No "where did all my money go" moments. When I need to decide on a big purchase, I adjust the numbers and see what happens to my balances through the end of the year.
